- Billing status, Stripe customer identifiers, subscription identifiers, and payment-related metadata.
- IP address, acceptance date/time, Terms acceptance, Privacy Policy acceptance, and related signup records.
- Device, browser, and usage information needed for security, diagnostics, and service improvement.
2. Payment Information
SiteLink Pro uses Stripe or other third-party payment processors to handle payment information. SiteLink Pro does not store full credit card numbers on its own servers. Payment information is handled according to the payment processor's security and privacy practices.
3. How We Use Information
We use information to:
- Create and manage company accounts.
- Provide access to SiteLink Pro features.
- Process subscriptions, trials, cancellations, and billing status.
- Send account, login, billing, support, and service-related emails.
- Maintain job records, customer records, photos, documents, schedules, estimates, contracts, inventory, equipment, accounting records, communications, and reports.
- Provide AI-assisted summaries, analysis, workflow guidance, forecasting, anomaly detection, and other supported intelligent features.
- Improve security, diagnose technical issues, prevent abuse, and protect the platform.
- Comply with legal, tax, accounting, security, and business obligations.
4. Customer and Job Data
Users may enter customer names, addresses, phone numbers, emails, job photos, contracts, estimates, notes, production details, and other business records into SiteLink Pro. Users are responsible for ensuring they have the right to upload, store, and process that information.
5. AI-Assisted Features
SiteLink Pro may provide AI-assisted features that analyze information already available within the platform, such as job records, notes, schedules, communications, accounting records, inventory records, estimates, documents metadata, photo metadata, settings, and other workflow data. AI-assisted features are intended to help users review, summarize, organize, and understand business information.
Depending on the feature being used, information submitted to an AI-assisted feature may be processed by third-party artificial intelligence service providers acting on behalf of SiteLink Pro. SiteLink Pro may limit the information sent to those services and may exclude or mask sensitive credentials such as passwords, authentication tokens, SMTP passwords, Twilio authentication tokens, payment credentials, and similar secrets.
Users should not intentionally submit unnecessary sensitive personal information, financial account credentials, passwords, medical information, or other highly sensitive data into AI assistance fields. AI-generated responses may contain errors and should be reviewed by an authorized user before being relied upon for business, financial, legal, safety, or customer-facing decisions.
6. Inventory and Operational Data
SiteLink Pro may store and process inventory and operational information including material items, quantities, locations, warehouses, vehicles, purchase orders, receiving activity, transfers, job usage, waste, damage, cycle counts, equipment assignments, maintenance records, and related costing information.
7. Sharing of Information
We do not sell user business data. We may share information only as needed with service providers that help operate SiteLink Pro, such as hosting providers, email providers, payment processors, backup services, SMS providers, technical support tools, or legal/accounting professionals.
8. Third-Party Services
SiteLink Pro may use third-party services including Stripe, hosting providers, email delivery services, SMS providers, domain providers, storage providers, analytics providers, artificial intelligence service providers, accounting and QuickBooks-related integrations, and other software or infrastructure providers. These providers may process information according to their own terms, privacy policies, and contractual obligations.
9. Cookies and Tracking
SiteLink Pro may use cookies, local storage, browser storage, authentication tokens, and similar technologies to keep users logged in, manage sessions, remember preferences, improve security, and support platform functionality.

SiteLink Pro may use reasonable administrative, technical, and organizational safeguards to protect information. However, no software system, internet service, hosting provider, backup system, or security system can be guaranteed to be completely secure.
11. Data Backups and Data Loss
SiteLink Pro may maintain backups and recovery tools, but backups are not guaranteed. Users remain responsible for maintaining independent copies of critical business records, contracts, customer data, photos, documents, and financial information.
12. Data Retention
We may retain account, billing, legal acceptance, usage, and business records for as long as needed to provide the service, comply with legal obligations, resolve disputes, enforce agreements, maintain backups, and support business operations.
13. Account Access and User Responsibility
Users are responsible for maintaining the confidentiality of login credentials, assigning appropriate permissions, removing access for former employees or subcontractors, and notifying SiteLink Pro of suspected unauthorized access.

We may disclose information if required by law, subpoena, court order, legal process, government request, or to protect the rights, safety, security, or property of SiteLink Pro, users, customers, or others.
15. Children's Privacy
SiteLink Pro is intended for business use and is not directed to children under 13. Users should not knowingly submit information from children unless legally authorized and necessary for business purposes.
